The context
When growth makes AWS spending harder to control
Exvirience is a software development company based in Italy that helps manufacturing businesses stay competitive in a fast-evolving market.
As they kept growing their XR platform, AWS infrastructure became more complex too.
Here’s why they addressed Spendbase:
- Couldn’t clearly track AWS costs across multiple services and environments.
- Struggled to identify underutilized resources and uncover optimization opportunities as the platform grew.
- Couldn’t accurately predict monthly cloud expenses or spot cost overruns before they happened.
- Found it difficult to compare and monitor spending across development, testing, and production environments.
- Allowed independent deployments to create unnecessary costs through unused instances, storage, and other underutilized resources.
“Our challenge was the lack of a centralized and easy-to-understand overview of cloud expenses, which made budgeting and cost allocation more time-consuming. We were looking for a solution that could help us improve cost transparency, identify optimization opportunities, and simplify AWS cost management overall. And found Spendbase.”

The solution
A four-week AWS optimization and credits strategy
Day 1–2: Quick onboarding + infrastructure analysis
We had a couple of meetings with the customer to learn about their goals and better understand how their team operates. We started by reviewing Exvirience’s AWS infrastructure and taking a closer look at where cloud spending was going across different services and environments.
1st week: Creating a detailed plan for potential optimizations
From there, we highlighted the biggest cost drivers, with EC2 accounting for the largest share of AWS spending. We also identified areas where resources could be optimized without affecting performance or slowing down the platform.
The goal wasn’t just to reduce costs, but to make the infrastructure more efficient and easier to manage as the company continued to grow.
“The platform gave us much better visibility into which resources were consuming the most and highlighted optimization opportunities that we had not clearly identified before.”
— Alessandro Zara, Co-Founder & CEO at Exvirience
2nd week: Preparing application for AWS credits
Once the optimization plan was in place, we took the lead on preparing Exvirience’s AWS credits application.
We guided the team through the requirements, gathered the necessary information, and handled the paperwork to make the process as simple as possible.
The goal was to remove the administrative burden from Exvirience’s team, allowing them to stay focused on building their product while we managed the application process from start to finish.
3d week: Submitting and pushing the application
Once the application was submitted, we stayed actively involved throughout the review process.
We handled communication with the AWS team, answered follow-up questions, and made sure the application remained on track.
This helped Exvirience avoid unnecessary back-and-forth and stay focused on its core business, while we monitored the process and kept everything moving toward approval.
4th week = Final negotiation, ensuring correct credit accrual
In the final stage, the Spendbase team worked closely with AWS to ensure all requirements were met and that the credit allocation process moved forward smoothly.
We stayed involved until the very end, helping resolve any outstanding questions and making sure Exvirience received the maximum available support.
As a result, Exvirience secured $75,000 in AWS credits and got a clear roadmap for long-term cloud cost optimization.
“The most valuable aspect was the proactive support from their team in identifying optimization opportunities and explaining how to improve our AWS resource allocation without affecting system performance.”
